Vendor spend leaks at the renewal date — the auto-renew nobody flagged, the notice window that closed last week, the contract that rolled over at last year's rate.

The Vendor Contract Tracker is a focused Excel system for the one discipline that protects procurement margin: knowing exactly which contract is up, when the notice deadline actually falls, and what each one costs — across every vendor, on one screen. Setup takes about ten minutes. Five minutes a week keeps you ahead of every renewal. One-time purchase, no subscriptions, no software to roll out.

Designed For

Who Uses This System

Built for the person accountable for renewals, notice periods, and vendor spend — where missing a window is a direct cost, not an administrative slip.

The Problem

Why Renewals Quietly Cost You Money

The expensive contract is not the one you negotiate. It is the one that renews while you are looking elsewhere. Four blind spots do most of the damage:

Notice deadlines are invisible — you learn a window closed only after the contract has already rolled over
Auto-renew contracts hide in plain sight — locked in for another term before anyone reviews the rate
Spend concentration is never mapped — no one knows which categories or vendors carry the bulk of annual cost
Finished contracts inflate live totals — old commitments distort what you are actually spending now
Complete System

Outcomes

What This Enables

Never Miss a Notice Window
Notice Deadline is End Date minus your notice days, with a live countdown. You act against the real deadline, not just the expiry date.
Auto-Renew Under Control
Every self-renewing contract is flagged and listed on its own exposure view, so you decide before another term locks in.
Spend Concentration, Visible
Category rollups show where the money sits before you negotiate — the leverage and consolidation cases become obvious.
Clean Live Numbers
Mark contracts Renewed, Replaced or Cancelled and they drop out of live totals while staying on record — current figures never inflate.
One-Glance Urgency
The Alert column and Action Center turn every end date into a plain instruction — Action Now, Upcoming, OK, Expired — ranked for you.
Measured Savings
Log every negotiation outcome — baseline against achieved — for an auditable record of what the discipline returns.
Common Questions

Frequently Asked

What version of Excel is required?+
Excel 2016 or later on Windows or Mac. The system uses standard formulas only — no macros, no VBA, no Power Query, no add-ins.
Does this work in Google Sheets?+
It is built and tested for Microsoft Excel. Some formulas and dashboard outputs may not carry over reliably on import to Google Sheets.
How many contracts can I track?+
There is room for 400 rows out of the box. To go further, select the last formula row, copy it, and paste down as many rows as you need — every calculation extends automatically.
How does it know what counts as "due soon"?+
A single Reporting As-of Date and an alert window on the Settings sheet drive every countdown and flag. Change the as-of date for a fresh read of the whole portfolio at any time.
Can a consultant use this for client work?+
The standard license covers single-business use. For use across multiple clients or organisations, contact hello@insigrareports.com to discuss a professional license.
